How to compress a PDF while keeping text and images clear

A practical guide to PDF file size, compression levels, sharing, and archiving.

What makes a PDF large?

Page count is only one factor. High-resolution scans, embedded fonts, transparency and detailed graphics can make a short brochure larger than a text-heavy book. Identify whether the document is mainly text, photographs or scanned pages before choosing a compression level.

Match quality to the destination

Medium quality is usually suitable for email and screen reading, while detailed print work needs more resolution. Keep the original, compress a copy, and inspect small text, diagrams and signatures before distribution.

When compression has limited effect

A file that was already optimized may shrink very little. Excessive compression can also blur text stored inside images. The useful result is the smallest file that remains clear for its intended job, not simply the lowest number.
