PDF or Word: choosing the right format
A practical comparison of layout stability, editing, collaboration and archiving.
When PDF is the better choice
Use PDF when every reader should see the same layout regardless of device or installed fonts. It suits contracts, final reports, invoices, forms and print-ready documents, and it can be signed or password protected.
When Word is the better choice
Word is more useful during drafting and review, especially for comments, tracked changes and structured headings. Its layout may shift between software versions or when a design font is unavailable.
A workflow that uses both
Draft and review in Word, then export a PDF for approval or distribution. Keep the editable source instead of treating a PDF-to-Word conversion as the master, because complex tables and typography often need checking after conversion.
