Password-protecting a PDF without locking yourself out

How to choose, share and retain a recoverable password-protected document.

Know what the protection does

An open password blocks reading without the secret, while print or copy restrictions depend on reader support. For sensitive information, use strong encryption and an open password rather than relying only on copy restrictions.

Create an unguessable secret

Use a long, unique phrase instead of a name or date. Do not reuse an email or workplace password, and store it in a password manager. Send the document and its password through separate channels.

Keep a recovery path

Retain an unencrypted master in a secure, access-controlled location. Test the protected file in another reader before removing temporary copies, and record its recipients and retention period.
